This Privacy Policy explains what information Title Quest Promotions LLC ("Title Quest," "we," "us") collects through titlequestpromotions.com and our event registrations, how we use and share it, and the choices you have. It applies together with our Terms of Service.
1. Information We Collect
When you join the fighter database
First and last name, email, phone number, date of birth, division (men's or women's), city and state, gym or team, head coach, height, walk-around weight, target weight class, level, primary style, stance, years training, total bouts, record, date of last bout, injuries or medical conditions, notes for the matchmaker, the events you're interested in, your photo, and the permissions you check on the form.
When you enter an event
The email and date of birth you use to find your profile, your expected weigh-in weight, shirt size, any new injuries or medical conditions, notes, the acknowledgments you accept, and your payment status. You enter your card details directly with Stripe. We never receive or store your full card number. Stripe tells us whether the payment succeeded, along with limited details such as the amount, your name and email, and the card brand and last four digits.
When you contact us
Your name, email, phone number (optional), inquiry type and message.
From other sources
Coaches, gyms, officials and medical staff may give us information about you, such as weigh-in results, medical clearance and bout results. Our staff add private matchmaking ratings (such as experience and aggression level) and notes. We also take photos and video at our events.
Automatically
Like most websites, our hosting provider records technical information when you visit, such as your IP address, browser and device type, the pages you request, the referring page, and the time of your visit. We use it to deliver and secure the site. Our pages load fonts from Google Fonts, so Google receives your IP address and browser information when a page loads.
Cookies and browser storage
We do not use advertising or analytics cookies. After you join the fighter database, the signup page saves your email in your browser's session storage so the event entry page can fill it in. It is cleared when you close the tab. Stripe uses cookies on its own checkout pages to process payments and prevent fraud.
2. Health Information
Injury and medical details you share are used only to keep bouts safe: for matchmaking, medical screening and ringside care. They are seen only by our matchmaking team, officials and ringside medical staff. They are never published, and we never use them for marketing. Please share only what is relevant to your safety.
3. How We Use Information
- To create and manage your fighter profile and review your photo.
- To match fighters fairly and safely by weight, experience and skill.
- To run events: registration, payments, weigh-ins, medical checks, scheduling and results.
- To publish approved fighter cards and promote Title Quest and its events (see "What's Public" below and Section 8 of our Terms).
- To send event updates and messages about your entries and bouts.
- To answer your questions and requests.
- To protect the safety of fighters, staff and spectators, prevent fraud and abuse, keep the site secure, and meet legal, insurance, tax and accounting requirements.
4. What's Public
After we approve your profile, your fighter card on the site may show your photo, name, age, walk-around weight, weight class, division, training experience, record, gym and city. Event cards and promotions may show your name, photo and gym.
Never public: your email, phone number, date of birth, medical information, coach details, matchmaker notes, payment details, and staff ratings.
5. How We Share Information
We share information only as follows:
- Service providers that run the site for us under their own privacy and security terms:
- Vercel, which hosts the site and stores profiles and photos;
- Stripe, which processes payments;
- Resend, which delivers our emails, including sending new signups and photos to our staff for approval; and
- Google, which serves our web fonts and runs Google Maps if you open directions.
- Event operations: matchmakers, referees, judges, ringside medical staff and event staff (including staff of the host venue, Legacy Striking Academy) as needed to run the event. We may also share your name, gym, weight, experience and record with the coach of a proposed opponent to confirm a matchup.
- Legal and safety: when required by law, or to protect the rights, safety and property of Title Quest, our fighters, staff, spectators or others.
- Business transfers: if Title Quest is sold, merged or reorganized, your information may transfer to the new owner under this policy.
- With your consent in any other situation.
We do not sell your personal information, and we do not share it for targeted or cross-context behavioral advertising.
6. Email
Fighters who join the database agree to receive Title Quest event updates. You can unsubscribe at any time using the link in any promotional email or by emailing fighters@titlequestmuaythai.com. We will still send messages about events you have entered and bouts you are matched in.
7. How Long We Keep Information
We keep your fighter profile while it is active or until you ask us to delete it. We may keep limited records of event entries, payments, signed waivers, results, and medical or incident reports for as long as needed for safety, legal, insurance, tax and accounting purposes. When we reject a signup, it is removed from the site, and you can ask us to delete it entirely. Signups from anyone under 18 are rejected before anything is saved.
8. Your Choices and Rights
You can ask us to:
- show you the personal information we hold about you;
- correct it;
- delete it (we may keep records we need for legal, safety or accounting reasons);
- remove your fighter card and stop using your profile photo going forward; and
- stop sending you promotional emails.
Email fighters@titlequestmuaythai.com from the address on your profile. We may need to verify your identity, and we aim to respond within 45 days. We honor these requests for everyone, wherever you live.
California residents: we do not share personal information with third parties for their own direct marketing purposes.
9. Age Limits and Children
The fighter database and our events are for people 18 and older. Signups with a date of birth under 18 are rejected automatically, and no photo or profile is saved. This site is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a minor has given us information, email us and we will delete it.
10. Security
We use reasonable safeguards, including encrypted (HTTPS) connections, private file storage, password-protected staff areas, and access limited to people who need the information. No system is completely secure. If a data breach affects your personal information, we will notify you as required by law, including North Carolina's Identity Theft Protection Act (N.C. Gen. Stat. ยง 75-65).
11. Do Not Track and Third-Party Tracking
We do not track visitors across other websites, and we do not use third-party advertising or analytics trackers. For that reason, our site does not change its behavior in response to browser "Do Not Track" signals. Services we use to run the site, such as Google Fonts and Stripe, receive technical information like your IP address when they deliver their content, under their own privacy policies.
12. Where Information Is Stored
We are based in the United States, and our service providers store and process information in the United States.
13. Changes to This Policy
We may update this policy from time to time. We will post the updated version on this page with a new effective date, and for material changes we will give notice by email or on the site.
